AI has come in and changed our relationship with recruitment. It’s brought recruiting automation to the next level and is pushing us to step into more strategic roles, probably turning us all into “talent advisors.”

But there’s still an elephant in the room: the humanized subset of AI applications—conversational AI

Chatbots are no longer magic; we’re used to embedding them on our websites to boost efficiency and conversions for different stakeholders. But the real game-changer is when conversational AI is involved, making those interactions more human-like and relevant, hence, prompting more actions.

In this article, I’ll dive into the applications of conversational AI in recruitment, from theory to practice, with some software suggestions at the end.

As more companies pay closer attention to candidate experience and plan to invest in improving it, now is a great time to understand these interesting AI applications to upgrade your application journey for more human-centered, streamlined, and engaging.

What is Conversational AI?

Conversational AI refers to the use of artificial intelligence technologies that allow computers to engage in natural, human-like conversations. This innovative technology enables machines to understand, process, and respond to human language in a personalized manner.

A conversational AI model mimics human conversations using data, machine learning, and natural language processing. Unlike traditional rule-based chatbots, conversational AI systems are trained through millions of interactions and continue to learn from each conversation.

Whether people type or give a voice answer, it interprets your input, responds appropriately with the trained knowledge, continues the conversation, and gets better over time at tailoring them.

Conversational AI vs Chatbot: What’s the Difference?

Traditional chatbots are rule-based. You probably implemented or interacted with them to find the needed information quickly. They respond with pre-set answers based on the keywords detected in your request.

They follow predefined workflows and can help provide quick responses to straightforward candidate questions on your behalf once embedded on your career site.

But it’s 2025 now. With the development of the conversational AI model, these chatbots can now make these interactions much more human-like and personalized, adapt to various contexts, and learn from past communication and data.

For example, intelligent chatbots can guide candidates through complex application processes, answer detailed job-related questions, and even provide tailored job recommendations based on their qualifications. This helps create a more engaging and seamless experience, leaving candidates with a positive impression of your company.

Josh Bersin has a table to demonstrate the development of these website’s chat tools:

Conversational AI in the Recruitment Process

AI Chatbot

AI-powered chatbots can be embedded directly on career pages or job application platforms for candidates to interact and receive real-time responses. It serves as the first point of contact for job seekers and potential candidates, offering immediate engagement and communication.

These chatbots are designed to handle a wide range of inquiries, from answering basic questions about job roles to providing information about the company culture.

Apli, a multichannel AI recruitment chatbot.

One of the key advantages of using AI chatbots is the ability to provide a seamless candidate experience at scale. Whether it’s a question about the application process or details about specific job requirements, chatbots offer candidates instant answers without the need for human intervention.

This level of automation not only improves efficiency but also ensures that no candidate inquiry goes unnoticed, increasing the overall quality of engagement.

Additionally, AI-powered chatbots can help personalize communication by adapting their responses based on user behavior or data from previous interactions, making candidates feel more valued during the hiring process.

Job Preview

Barb Hyman, CEO and Founder of Sapia.ai, told us in our interview:

"The beauty of chat dialogue is that a big part of what we're trying to solve is: What do I need to know in order to qualify myself for this role? Customers like Joe & the Juice have awesome videos showcasing the role; they have people speaking to it… It becomes a job preview experience as well as a job application and evaluation experience, and that's the difference between chat as a medium and any other tool: it allows both sides to engage and connect in a much more human way." - Barb Hyman

Conversational AI allows the job preview experience by giving candidates a more interactive and tailored understanding of the role they’re interested in, right from the start. Instead of just reading a static job description, they can engage with an AI-powered chatbot to ask specific questions and get customized responses and follow-ups based on their preferences and needs.

This dynamic interaction through a self-paced chat conversation helps candidates get a clearer picture of the scope and tasks of the position, team culture, expectations, and potential career growth opportunities associated with the role.

It’s especially useful for roles where the standard job post might not fully capture the essence of the position, like jobs with niche skill requirements or less-known job functions.

By providing this in-depth preview, candidates can gauge whether the role aligns with their career goals and skills before applying. And by automating them through conversational AI technology, you’re saving time and increasing the chances of connecting only with suitable candidates, which results in higher efficiency and higher retention rates.

Job Recommendation

Cody AI as an intelligent recruitment chatbot.

Conversational AI can proactively suggest open positions based on candidates’ engagement with the chatbot, such as browsing specific roles or asking detailed questions about certain job functions.

Through AI-powered chatbots, candidates can engage in real-time conversations where they provide information about their qualifications, career interests, and location. The chatbot analyzes this input, often combined with data from resumes or previous applications, to suggest relevant jobs.

This intelligent job-matching process speeds up the hiring cycle, enhances candidate experience, and helps organizations source better-fit talent by aligning candidates’ skills with current opportunities. This means a lighter yet more impactful workload for hiring teams and a more personalized and efficient job search process for candidates.

Candidate Screening

The technology introduces a fresh approach to prescreening candidates, making the process more convenient and efficient for both recruiters and candidates.

Candidates can engage directly with AI-guided chat and video tools that reduce traditional barriers like waiting for a call or scheduling an interview.

PrescreenAI chatbot.

They are guided through tailored questions about their qualifications, preferences, and experiences, all while receiving instant feedback. The AI helps determine if they meet the role’s criteria and moves them forward if they do—all in real time. Thanks to that, candidates are more actively involved in the process, with a clear sense of progression and next steps.

Through chat-based interviews, candidates can engage at their own pace whenever they are ready. They are no longer bound by rigid schedules and may have flexible answer options, like texting, talking, or recording a video.

Interview Assistant

AI can also be your helpful assistant, making the process more efficient and organized.

At the prescreening step, for example, AI proctoring tools can be leveraged to assess candidates through skills tests or other assessments. These tools ensure fair and standardized evaluations, monitoring the process and providing instant results on candidate performance. The AI recruiting platform will analyze and summarize the results to give you a shortlist of candidates’ key highlight performance points and limitations.

Once high-potential candidates are identified, intelligent chatbots can handle tasks like screening candidates, answering their questions, and scheduling interview times. This automation allows recruiters to focus on higher-value interactions without the back-and-forth of coordinating logistics.

After the interview, AI tools provide clear, structured summaries of key candidate responses, including strengths and areas for improvement. These summaries make it easier for teams to collaborate, ensuring everyone is aligned on the next steps, whether it's moving a candidate forward or setting up follow-up interviews.

This way, recruiters are empowered to work smarter and focus on the conversations with their top candidates.

Benefits of Conversational AI in Recruitment

Conversational AI is a compelling solution for recruiters looking to make hiring advanced and automated. As you may get the points by far, it helps yield candidates throughout the application journey and keeps them involved through more human-like, enjoyable experiences.

Here are some key benefits of implementing conversational AI in your recruitment process:

  • Enhance candidate experience, ultimately resulting in good employer brand positioning
  • Lower time-to-hire, capturing and yielding candidates across the journey
  • Optimize recruiter productivity

Better Candidate Experience

One of the primary benefits of conversational AI in recruitment is its ability to improve the candidate experience significantly.

Candidates no longer need to wait days to respond to a query or an application update. AI-powered chatbots can engage candidates in real time, answering their questions, providing application status updates, guiding them through the following steps, and even offering helpful feedback.

This constant and efficient interaction helps candidates feel valued and supported throughout the process.

A positive experience leaves a lasting impression on candidates, who are more likely to share their journey with others—whether by leaving a review or sharing with peers. In the long run, better candidate experiences contribute to a stronger brand image, attracting top talent and differentiating your organization in a competitive job market.

For companies, it’s not just about filling roles but how to build relationships that position the brand as an employer of choice.

Lower Time-to-Hire

We don’t have the capacity to interview every candidate, especially when hundreds of applications are pouring in. Even when we do, it’s challenging to conduct all interviews consistently and without bias.

Conversational AI helps address this challenge by speeding up key parts of the recruitment process. From screening applications to highlighting potential ones and setting up interviews, AI automates repetitive tasks, allowing recruiters to focus on more critical stages and responsibilities.

The ability to keep candidates engaged and moving quickly through the pipeline ensures organizations are less likely to miss out on quality talent. Additionally, a faster process gives recruiters more time to assess and interact with top candidates, leading to better-informed decisions and higher-quality hires.

Higher Recruitment Productivity

Conversational AI takes on time-consuming tasks like answering FAQs, screening applications, and managing interview scheduling. By offloading routine work to AI, recruiters can optimize their productivity and concentrate on what truly matters—finding the right talent for the organization.

That way, recruiters can prioritize building stronger relationships with candidates, refining hiring strategies, and enhancing the overall recruitment process.

The most profound impact is that it ensures efficiency when hiring at scale, allowing recruiters to effectively manage large volumes of candidates without missing any potential talent. AI-driven communication in a personalized experience keeps candidates engaged and informed throughout the process, ensuring a high-quality experience for everyone.

By streamlining interactions, conversational AI enables faster response times, helping recruiters keep the recruitment process moving while maintaining a personal touch. This balance between efficiency and engagement allows companies to hire quickly while building stronger relationships with top talent.
